Data Protection Policy 

To ensure all personal data collected and processed by [Centre Name] for online learning and assessments complies with the Personal Data Protection Bill 2023 (Pakistan) and Pearson Edexcel requirements.


Applies to all staff, contractors, and volunteers with access to learner or staff data through online systems.

 

  • Data will be collected via secure online forms and stored in encrypted systems (e.g., password-protected cloud storage).
  • Access to personal data will be restricted to authorised personnel using two-factor authentication where possible.
  • Video lessons will only be recorded with prior consent, stored securely, and deleted after their intended use.
  • Personal data will not be shared with third parties without written consent, unless required by law or Pearson.
  • Staff must use only official centre-approved communication channels (e.g., LMS chat, official email).
  • Any data breach must be reported immediately to the Centre Manager, and where applicable, to authorities and Pearson.

 Retention:
Data will be retained only as long as necessary and securely deleted thereafter.

 Review will be done annually or when legislation changes.

 

Safeguarding Policy 

To protect learners in an online environment in compliance with Pearson standards and Pakistani child protection laws. Designated Safeguarding Lead (DSL):

  • All online classes will be conducted on secure, password-protected platforms.
  • Learners and staff must not share meeting links publicly.
  • Cameras and microphones will be used in line with agreed classroom norms to maintain privacy.
  • Staff will be trained to identify online safeguarding risks including cyberbullying, grooming, and inappropriate content.
  • Any safeguarding concerns will be reported to the DSL immediately.
  • All learner communications with staff must remain professional and occur only through official channels.
  • Online behaviour rules (netiquette) will be shared with all learners and parents.

Prevent Duty Online:
Staff will be alert to extremist or harmful online content and will report concerns following Pearson’s Prevent guidelines. Review:
Annually or when changes in technology/legislation occur.

 

Contingency Policy 

 Online Learning Purpose:
To ensure uninterrupted learning, assessment, and examination preparation in case of online disruptions. Key Risks & Actions:

  • Internet Outages: Learners will be provided with recorded sessions or alternative learning materials via the LMS.
  • Platform Downtime: A pre-approved backup platform (e.g., Google Meet, Zoom, Microsoft Teams) will be used.
  • Staff Absence: Another trained teacher will take over or a recorded lesson will be provided.
  • Cybersecurity Breach: Immediate lockdown of affected systems, IT investigation, and secure restoration of services.
  • Power Cuts: Sessions may be rescheduled or materials sent asynchronously.

Responsibilities:
The Centre Manager and IT Support will activate contingency measures and inform learners promptly.

 

Written Appeals Policy 

Online Learning Purpose:
To provide a fair, transparent, and accessible process for learners to appeal academic or assessment decisions in an online environment. Policy Statement:

  • Appeals must be submitted via the official email or LMS within 14 calendar days of result notification.
  • The appeal will be acknowledged within 3 working days.
    • A senior staff member not involved in the original decision will review the appeal.
  • Outcome will be sent electronically within 10 working days.
  • If unresolved, the learner will be informed of their right to appeal directly to Pearson Edexcel.
  • All appeals will be stored digitally for at least 12 months in secure storage
